Description:

Explains the process of creating and handling cusotmer samples

Definitions:

Sample - Product going to a customer which is not for sell, but as feedback for development. 

Policy:

Samples sent to customers’ needs to be recorded well so that we can make appropriate changes to them, or replicate exactly is approved. We do this though omniscient. 

In Omniscient, 

  • Enter or create an appropriate sales project (Sales - Sales project)
  • In customer project, enter or create the product for the samples you are making
  • Select samples
  • Select new samples for this product
  • Fill in all information for the sample and upload a picture of the sample product (not the bag).
  • Enter the ingredients used in the sample. (If you're doing potato chips you do not need to enter potatoes unless it’s a specific type of potato used)
  • Save entry

Once the sample is recorded it is time to make it in accordance to the information entered. Samples as consumable food product and GMPs and other sanitary precautions must be taken.

A normal way of making the samples is to weight out each ingredient on a scale and mix in a zip lock bag.

For example: 100 g sample with 8% seasoning – Weight out 92g chips and place in bag, weight out 8g seasoning and pout into same bag. Close the bag and shake it without causing breakage but until seasoning has ben evenly distributed on all product.

 

All samples need to be labeled and a reference sample needs to be kept with an identical label. The location of this reference sample is also recorded, and the label is printed in Omniscient.

  • In the sample entry, click “Print Label”
  • Print Label and apply to the label to the sample bags, including the reference sample.

When sending the samples, they must be packages with adequate padding so that the product will not be damaged. Air transport can at times pop bags open due to the change in pressure. The same can happen if ground transport travels over mountain passes.

Once the sample has been received and sampled, the feedback for the sample will also need ot be recorded in the sample entry.
