Description:

This document described the process of maintaining and organizing the official SOPs and documents
Definitions:

Policy:
    • Documents are stored on the company group web based drive and managed through Omniscient. Documents are named with a document number and if applicable a company designation such as SLG (SnackCo LantChips Group), SLC (Svenska LantChips), SOA (Snackco of America). The designation will determine if it is a plant specific document or a group governing document applying to all plants. E.g. SLG_01.02.001 Introduction. In this document we will refer to either of the designations as SLG. Document for management should be written in English, however, routines and instructions are written in appropriate language for the worker that will perform them.

    • The SLG# consist of a Category, Sub Category, Document Number (last three digits), Record No (dash then number or letter)

    • All official controlled documents, governing and records should be assigned a SLG#, this number, revision number / revision date, will be stated on each document. 

    • All documents pertaining to Non-GMO production must be kept for three years in digital or physical format. 

    • All Quality documentation and records need to be kept for at least two years so that it is maintained at least 12 months past the expiration. 
    • All official documents should also be recorded in “Omniscient Document Index”.

    • If documents are living documents (e.g. documents changed often) they will have the same name, but won’t contain a revision date as they can be updated daily without needing to follow the below procedure.

    • To update a (non-living) Document, follow the following process

      • Omniscient Document (preferred)
        • In document index, click edit record on the document you wish to update
        • Click "Write SOP here"
        • Scroll down to Description, Definition, and policy and fill them out. 
        • It is recommended to first use Google Docs to first write your SOP and then copy into the policy section in Omniscient
        • Under "Changes Done", Summarize your changes
        • Click Submit
        • Submitting the document makes you the approved.
        • If the document has physical location, print and update the document in those locations 
      • Google Slides

        • In document index, click edit record on the document you wish to update
        • Click the "Document Edit URL" link, make the changes in the document.
        • Update the revision date on the heading to today's date
        • Go back to Omniscient
        • Under "Changes Done", Summarize your changes
        • Click Submit
        • Submitting the document makes you the approved. 
        • If the document has physical location, print and update the document in those locations
    • If you are creating new Document 

      • Omniscient Document
        • In document index, click New
        • Select the category that fits in the document
        • Add the document number after ensuring it is available
        • Click "Write SOP here"
        • Scroll down to Description, Definition, and policy and fill them out. 
        • Under "Changes Done", Summarize your changes
        • Click Submit
        • Submitting the document makes you the approved. 
        • Add any physical location the document is posted under "Physical Posted Locations"

        Google Slides

        • In document index, click New
        • Select the category that fits in the document
        • Add the document number after ensuring it is availible
        • Create a Google Slide and move it into the appropriate shared folder
        • Copy the document heading from a previous document and update the document number and revision date to today's date. 
        • Under file-share-publish to web, publish to web and copy the url given.
        • Add that url under "Document View URL" in Omniscient.
        • Copy the url in the address bar for the document and paste under "Document Edit URL" link in Omniscient.
        • Under "Changes Done", Summarize your changes
        • Click Submit
        • Submitting the document makes you the approved. 
        • Add any physical location the document is posted under "Physical Posted Locations"

         

         

    • If applicable, create a Training log and complete trainings in a timely manner.
